IDCapture FAQ

  • Download IDCapture from Monitor WA's SmartRider web portal.
  • Double click on the file downloaded and install IDCapture with default settings.
  • A shortcut of IDCapture will be created on desktop by the installer. Double click on the IDCapture shortcut to run the program.
  • Call Monitor WA on (08) 9240 4777 to obtain your school code

    • Backup your existing IDCapture database. IDCaptrue database file's default location is:
      For Windows 7,8 & 8.1 C:\ProgramData\Monitor WA\IDCapture\IDCapture.mdb
      For Windows XP C:\Documents and Settings\All Users\Application Data\Monitor WA\IDCapture\IDCapture.mdb
      Copy and paste the database file into a network driver or USB drive.
    • If applicable, backup student photos if they are locally stored in old PC.
    • Download ID Capture from Monitor WA SmartRider web portal.
    • Double click on the file downloaded and install IDCapture with default settings.
    • A shortcut of IDCapture will be created on desktop by the installer. Double click on the IDCapture shortcut to run the program.
    • Call Monitor WA on (08) 9240 4777 to obtain your school code
    • Double-click on IDCapture shortcut on your desktop to run IDCapture
    • Go to "Setup" -> "Database"
    • Fill in the directory of your old database on network drive or replace the new database with your old database file located in the pre-filled directory.

    ODBC connection is required to allow IDCapture talking to SIS database.

    • Download OMNIS database driver from our SmartRider web portal.
    • Follow the SIS installation guide to establish the ODBC connection
    • There are two .doc files in the sis_files.zip which was download in step 1. Follow the instructions in those two doc files to setup permissions in SIS database.
    • Open IDCapture and go to Setup tag
    • Click on "SIS Sync" button
    • Export student information from school database to a comma delimited csv file
    • Open IDCapture and go to Setup tab
    • Click on "Import Data"
    • Follow the import wizard to import student information

    Please email your change request to our support email address. Include the design type and attach a colour school logo (if applicable).

    Our standard Photo ID card designs are Ver10, Ver11, Ver16 and Ver17. You can view the card designs at this link: SmartRider Card Designs.

    We also do Custom designs for schools to stand out from other schools.

    If you wish to review your order before sending them to Monitor WA, order queue can be displayed through Search function

  • Click on "Search"
  • Choose "People with Card Orders" from the drop down list of Show.
  • People column now only contains patron who is in the queue. (Please refer to the image below.)

    Note: The Bulk Order function relies on the correct data in the IDCapture database. Using bulk order function may risk unnecessary card orders in the queue. Please always check the queue before sending your order.

    • Click on Bulk Order
    • Queue Card orders for all people without cards: IDCapture will order a card for patron who hasn't got a last ordered date stored in the database.
    • Queue card orders for all people: IDCapture will queue up a card for all the patrons in the database.
    • Cancel all card orders: IDCaputre will remove all queued orders from the order queue.

    IDCapture provides the user three ways to send queued orders, Email via MAPI, Email via SMTP, and File. Card order delivery method can be found under Setup -> Configure -> Card Orders

    • Email via MAPI: IDCapture creates the order then uses Microsoft Outlook to send orders to Monitor WA. Delivered order should appear in Outlook "Sent items" folder. The user who sent the order will receive a confirmatoin email from Monitor WA the next day in the morning between 8:30am and 9:00am.
      Note: MAPI ONLY work with 32bit Outlook.
    • Email via SMTP: IDCapture creates the order then sent the order in an email through SMTP server. User nominated in IDCapture card orders setting will receive a confirmation email the next day in the morning between 8:30am and 9:00am.
    • File: IDCapture creates the order and save the generated order as files. Users then attach the generated file within an email to smartrider@srcards.monitorwa.com.au with subject "IDCapture: Sitecode". Delivered order should appear in "Sent items" folder. The user who sent the order will receive a confirmatoin email from Monitor WA the next day in the morning between 8:30am and 9:00am

    Bad data may be introduced to the queue from SIS or other databases which causing an error message when sending orders.

    • Click on "Search"
    • Choose "People with Card Orders" from the drop down list of Show.
    • "Blank" records appear in the People column

    • Select the blank record
    • Click "Delete" to remove the bad data
    • Click on "Bulk Order" located on the top right corner.
    • Choose "Cancel all card orders"
    • Click on "OK"

    Received orders will be imported to Monitor WA card producing system every morning between 8:30am and 9:00am. Please contact us on 9240 4777 to cancel your order before 8:30am the day after the order was sent.

    The turning period for school orders and online orders is about 3 working days.

    The turning period of application form is about 5 working days.

    Note: The turning period is an estimated average, individual cases may vary.

    For schools order card through DET Secure apps: Please contact SIS help desk regards to your orders.

    For schools who placing order through IDCapture:

    • If orders are sent by MAPI:Please make sure outlook is running when IDCapture is sending orders. Successfully delivered orders should be saved in sent item folder in Outlook.
    • If orders are sent by SMTP:Please contact school IT support for help.
